If you are evaluating candidates for future Corporate ERP system, we would like to share with you the way to download Dynamics GP, install it for evaluation period of 90 days and review the functionality.  This application was in the past also known as Great Plains Dynamics, eEnterprise, please do note that its predecessor – Great Plains Accounting for DOS, Windows and Mac had different code base and its logic differs, so you may need some training to begin intuitively recognize new screens in Dynamics GP, if you are planning GPA to Dynamics GP upgrade path: 1. Download current version Dynamics GP 10.0 CDs from MSDN subscription website.  As GP is recommended as mid-market Corporate ERP, if you are doing evaluation, please check with your IT department if your organization has MSDN subscription.  If you do not have MSDN subscription, please email us or give us a call, we will send you instructions 2. Install Dynamics GP evaluation version.  We recommend you to install evaluation on Windows XP or Vista workstation, where you preliminary install Microsoft SQL Server 2005 Developer Edition.  In order to install on Vista, please disable User Account Control.  If you are installing on XP Pro Service Pack 3 with Microsoft Office 2007 loaded, there are known issues.  Please, read about DexSkipDotNetCheck.mst and skipdotnetcheck.ms methods.  You will need to download these files, give as a call or email.  When you have GP installation in progress, please do not enter registration key – this will put you in evaluation mode for 90 days automatically 3. Evaluation recommendations.  When you run Dynamics GP Utilities, please select number of Segments 3 or more and first, second and third segment respectively 3 characters or more, 4 characters or more and 2 characters or more.  If you choose these settings, you should be able to install Fabrikam Lesson Company (TWO database in MS SQL Server).  In Fabrikam you could see most of the GP modules, you can even load Manufacturing, Field Services, Fixed Assets, Human Resources, Project Accounting sample data.  Plus major Dynamics GP ISV Partners Add-ons have sample data loading utility for evaluation.  Plus you can download and install such integration tools as eConnect SDK, in case if you have ecommerce integration needs and would like your programmers to try it as well 4. What you cannot do in evaluation version.  You cannot install and try FRx Financial Reporting, Integration Manager.  However for most of these technologies, you can use Microsoft Business Solutions demo presentations, just make internet search and you should be able to find web demos or movies from Microsoft associated sites or from Dynamics GP Partners 5. If you are migrating away from Small Business Accounting applications, such as QuickBooks, PeachTree, or if you are downgrading from full features Corporate ERP, such as Oracle eBusiness Suite, Epicor, PeopleSoft, you will likely need data conversion phase.  If your legacy accounting doesn’t have migration tool to Microsoft Dynamics GP, please try to figure out data export options, in this case you can use Dynamics GP Integration Manager for Data Migration and Conversion 6. Upgrade from Archaic Great Plains versions: 7.5, 7.0, 6.0, 5.5, 5.0, 4.0, also from Great Plains for Pervasive SQL or Ctree (version 7.5 and lower), Great Plains Accounting for DOS, Windows and Macintosh: 9.5, 9.2, 9.1 or earlier.  If this is your plan – please note that you have to be current in Dynamics GP annual enhancement program to have access to recent GP version 10.0 (we are writing these lines in October 2009, if this time is too historical, check with Microsoft which version of Dynamics GP is current at the time).  If you are not current in the program, then you may expect some discounts in reenrollment or software licenses repurchase 7. If you are looking for Dynamics GP implementation for multinational corporation.  Please, note, that GP is localized in English speaking countries: USA, Canada, UK, South Africa, Australia, New Zealand, Oceania, South East Asia, plus in Spanish Speaking Latin America, Caribbean, in French it is available in Quebec in Canada.  GP doesn’t support Unicode (this is limitation for Hieroglyph based languages: Chinese, Japanese, Korean).  Great Plains has support from local Dynamics GP Partner in Poland.  It is also technically possible to translate some GP screens to Russian, Lithuanian, Latvian, Brazilian Portuguese and other ASCII compliant languages of East Europe and the World, however we do not recommend this approach, as Corporate ERP localization typically goes beyond screen translations and includes local tax legislation compliance.  In the case if GP is not localized for proposed country, we recommend you to consider Dynamics AX Axapta first (especially if you are committed to Microsoft Business Solutions and Microsoft Windows platform) and then SAP Business One does wonderful job and both of these (AX and SB1) are localized for larger number of countries and support Unicode.  Axapta is good option is your overseas subsidiary is upper mid-size or large organization.  SAP B1 in its turn is good fit if your international branch is smaller 8. Microsoft Dynamics GP, formerly this Corporate ERP platform for mid-size business was known as Great Plains Software Dynamics, eEnterprise and Dynamics C/S+, has large number of installations in United States, Canada, UK, Australia, New Zealand, Spanish Speaking Latin America and Caribbean.  It is part of Microsoft Dynamics family, where you also see Dynamics AX (former Axapta), NAV (former Navision), SL (Solomon), CRM and RMS (Retail Management System).  This family might be extended by Microsoft Business Solutions, so please check on current info, as we are writing these lines in September 2009.  Dynamics GP is good as generic ERP and MRP platform, as it can automate virtually all types of business processes, however it is especially good choice for non-profit organizations (Grant Management, based on Analytical Accounting), Mid-size and large Discrete Manufacturing (please, note that for so-called Process Manufacturing, such as meat processing facilities, you should consider Dynamics AX Axapta), Light Assembly, Freight Forwarding (where you deploy Customer Vendor consolidation for Agent Settlement Report), mid-size Retailers (especially with Microsoft RMS integration to Great Plains), mid-size eCommerce stores (where you integrate ecommerce transactions via GP Integration Manager in batch mode or program simple integration in eConnect in real time), reasonably complex Warehouse management and logistics (with Barcoding integration, shipping and receiving, picking and packing), Advertisers and Publishers, who needs strong Collection department. And these business niches are our unoffical opinion, different Dynamics GP Resellers might have expertise in more business profiles.  It is definitely good idea to request Dynamics GP demo with the consideration of your requirements and business processes  from your Microsoft Dynamics GP proposed Partner, we will try to cover reasonable number of typical questions for your homework in this small publication: 1. Software Licensing.  Dynamics GP is sold in Business Ready format, where you purchase either Business Essentials (when you need less functionality and narrow set of modules), or Advanced Management (where more functionality is desired, typically for larger organization) user licenses.  Both licenses include reasonable set of modules and then the rest of the modules are available for separate purchase (maybe in the future, when you have pilot implementation completed).  Dynamics GP requires (certainly you have the choice here as well) current status in Annual Enhancement program, which should be extended every year and it is around 18% of Software Price.  Being in this program allows you to get access to new version registration keys and have discounted technical support from Microsoft Dynamics GP directly 2. Implementation Phases.  They are likely to be similar for various Corporate ERP products.  You have these steps: Sales Cycle, Pilot Installation, Data conversion, your business processes oriented user training, customizations and integrations with legacy systems if required (including EDI, ecommerce, POS, Retail Transactions, Barcode scanners, etc.), reports tailoring and modification (such as required Invoice with company logo, AP Check form, Inventory Items Barcode Label printing, etc.).  When Pilot phase is successful you need to do production and final data migration and going live with emergency level support period if something goes wrong you need urgent help to secure uninterrupted business processes.  For smaller organizations these steps might be narrowed, and skipped to fit your budget.  We recommend you to get your Software License cost and use it as Implementation cost estimation – enable at least 50% of the Software license cost budget for consulting in implementation 3. Dynamics GP Technology Stack review.  User Workstations (formerly referred as Fat client) is programmed in Great Plains Dexterity (if you need seamless integration for custom logic, this would be the first tool to consider for GP customization programming).  Database Platform is Microsoft SQL Server (2008, 2005 or 2000 for current GP version 10.0).  Reporting could be done in ReportWriter (invoice with Logo are the most typical), SSRS, Crystal Reports, FRx (financial reporting – BS, P&L, Statement of Cash Flow).  Integration is open if you purchase Dynamics GP Integration Manager module, plus you can program integration in eConnect (if you have internal programmer, who are comfortable with C# or VB.Net development with some SQL and XML experience).  Plus, there are additional possibilities: Extender, Modifier with VBA scripts, Web Services for Dynamics GP, Integration with Sharepoint, Microsoft Outlook.  Plus, Dynamics has Business Portal, where you have discounted licensing schema for such functionalities as Electronic Document Delivery (to email you Sales Invoices to selected customers automatically as an idea, plus a way more other deliveries), Order Management (for B2B ecommerce), Purchasing management (for internal Purchase Orders and complex approval hierarchy and cycle), Human Resource Employee Self Service (this module allows you to be compliant on check stub exposure to your employees regulation, if stubs are available through the web, you do not have to pay for paper mail postage) 4. International Environment.  Please, note that Dynamics GP Dexterity doesn’t support Unicode characters, or hieroglyphs: such alphabets as Chinese, Japanese, Korean.  Plus it is only localized (user interface translation plus local tax and reporting compliance) for English Speaking Countries, French speaking Quebec, and Spanish Latin America.  If your international subsidiary is located in such regions and countries as Brazil, Russia, China, Continental Europe, Kazakhstan, Central Asia – we recommend you to consider SAP Business One as it localized for these countries or even local ERP application, assuming that it support reasonable transaction export into text files to be consolidated via Dynamics GP Integration Manager 5. Dynamics GP eCommerce options.  If you are doing B2B ecommerce, please consider first Microsoft Dynamics GP Business Portal Order Management module, as here you are virtually expanding GP Sales Order Processing and Inventory Control modules to the web customers.  Formerly this module was known as Great Plains eOrder, however with GP 8.0 it was redesigned on Microsoft Dynamics Business Portal platform.  If BP is not a good fit, we recommend you to consider eConnect ecommerce integration programming in C#, VB.Net as eConnect is generic MS Visual Studio programmer friendly.  For those of you who need automatic posting from eConnect ecommerce we have Alba Spectrum Posting Server or Autopost 7. Intellisol APOP and Project Accounting migration.  If you are still on GP 7.5 and earlier, you may have Intellisol Advanced Purchase Order Processing or Project Accounting deployed.  Intellisol was in business presence phasing out in around 2002, so consider Intellisol APOP migration to Great Plains POP, migration tool is available for GP version 7.5 and some earlier 8. EDI notes.  Of course you can purchase Electronic Document Interchange Add-ons for Dynamics GP, or SAP Business One.  However we recommend you first to consider budget option where you code your EDI lines in SQL formatted Select and Insert statements 9. Microsoft Dynamics GP Sales automation could be achieved in three modules: Sales Order Processing, Invoicing and Receivable Management.  SOP is the most powerful, as here you can have reasonable negotiation steps, such as Quotations, then Sales Orders and upon order delivery you may go to the final step, such as Invoice.  You can also have Sales Returns, Back Order and Fulfillment Order.  And, please know that SOP steps are flexible and it is not really required for each small sale to have each of the steps mentioned above.  Before we concentrate on SOP module, let’s make comments on RM and Invoicing modules.  Invoicing module is more simple, as it only allows you to create Invoices and Returns, it also is linked to Inventory Management module, meaning that you can have multiple item lines in Invoicing (plus fact that it is not part of eConnect SDK makes it very difficult to deploy in eCommerce integrations).  Receivable Management module is one step closer to GL, and when you post either SOP or Invoicing documents, they are posted through RM (meaning that these documents are registered in RM tables).  RM documents do not have link to Inventory items, each RM Invoice is flat document with one line of description.  OK, let’s now move to SOP paragraphs: 1. SOP Document Header.  Here you select Customer, or Prospect (Quote), and its Bill to and Ship To Address, default Warehouse Site ID (from where your Inventory items will be automatically allocated if Allocation is set to By Line Item in SOP Type definition).  Customer PO Number is optional, but often useful.  Also, Dynamics GP supports Multicurrency in most of the modules and you can set Currency ID for the SOP Documents 2. SOP Lines.  If you are selling merchandise with inventory locations, serial (or lot) numbering, bins tracking, natural choice is to select existing inventory items (or simply scan them directly from barcode scanner or upload them from barcoding batch).  If you are selling services, with lines fed from ecommerce service selling website, you can have here lines with so-called non inventory items.  In order to enter non inventory item, simply begin writing natural Item Name (which might be your consultant name, for example).  If item is not found in Inventory, it is set to non inventory automatically.  Then write service description (in Description field) and if you need more room for details, click on Comment Icon on the line level (in comments you can write four lines).  Comments will be automatically shown on GP Report Writer based SOP Blank Invoice form (Short, Long, the same is applicable to Quote, Back Order, Sales Order).  Now if you are selling lot or serial numbered items, allocated lots and serial numbers will be printed automatically on SOP forms 3. Item Pricing.  In Dynamics GP pricing is reasonably flexible and could be altered by Price levels (which could be assigned to the customer, if default price level should be superseded), plus you can use Price Groups for adjusting Standard Prices for items grouped together.  There are numerous Dynamics GP ISV addons, where Pricing is more complex.  And we should probably mention here, that you can deploy Dynamics GP Business Portal Order Management module, which creates Sales Orders directly in SOP tables, where you can have One Active (and multiple ready for activation) catalog with advanced pricing model (outside of the scope) 4. Document Footer.  Here you have Holds (if you plan to use complex approval cycle for Sales process, you can setup holds on SOP Type ID level) .  User Defined Fields, if you need them to be entered and available to be printed on SOP documents.  Sales Document GL distribution could be also reviewed and modified if desired.  Sales Commission could be set to be accrued automatically, we often see that customers have more advanced Sales Commission formulas, which could be realized via Custom Reporting (usually Crystal Reports or SSRS).  Trade discount is applicable to each document (however you can also use discount logic and it could be different on each item line.  Also, additional “discounting” is available on Customer Payment Apply screen, where you can write off fractions of Sales Invoice – it will be posted on dedicated Write Off GL Account).  You can also enter freight and miscellaneous (each could have separate posting account).  Tax field, this is very sensitive to the country where you are.  In USA we have Sales Tax, in other countries you can have VAT or GST taxes, so please check with your local Dynamics GP Partner 5. Batch Posting Logic.  Microsoft Dynamics GP is mid-market Corporate ERP application and it supports both method: individual transaction posting and batch level posting.  Batch allows you to implement control over posting to General Ledger, for example you may want your Sales Manager to approve batch of Sales Orders or Invoices (maybe price was over discounted, alternatively it could be done on individual document level via SOP Hold mechanism) and sometimes Accounting clerk to check Batch GL distribution.  Batches also could be good instruments for helping your company maintain reasonable and conservative approach in Accounting Accrual Method (or even stick to Cash Accounting method, if you are smaller company where Cash method is allowed by Tax Authorities) – if you do not post SOP Invoices Batch, then your GL doesn’t know about Accrued Revenues 6. SOP Modified forms.  Usually you modify SOP Blank Invoice form and place your company graphical logo as the minimum.  If you maintain multiple companies in your GP system (such as Payroll outsourcing firm, or membership services for multiple clubs), consider saving special invoice forms via Customization Maintenance (export and import customization) and save special invoice form into package and then it will be available for reloading into active Reports.dic 7. Custom SOP Level Reporting.  If you are designing Crystal Reports, where you would like to show Sales figures, please do not forget to exclude Voided Documents (as they will be sitting in the same tables: SOP30200 and SOP30300), plus do not forget to count Returns as Negative Sales.  Also, in our opinion good hint is the fact that RM level Sales figures may be different, as if you void posted Invoice in RM – it will not be voided automatically in SOP 8. SOP as ecommerce front end. Sales Order Processing module is open to ecommerce programmers via eConnect SDK libraries and code samples in C# and VB.Net.  Plus, SOP was historically very popular for unique Great Plains Dexterity customizations and Dynamics GP ISV add-ons: WennSoft, Intellisol 9.
